One digital chain, from the office to the roadside

For Van Amerongen we have been building the applications that connect office and field teams since 2018 - from work preparation and work orders to real-time material management and invoicing through Exact Online.

Van Amerongen provides traffic management for roadworks and events: signs, barriers and other equipment that has to be in exactly the right place - and back again afterwards. A company with multiple branches, field engineers across the country and thousands of material movements a year. We have been their software partner since 2018.

LOREM second intro paragraph. The two-column intro is built for roughly a hundred and forty words together, so a second paragraph of about seventy words belongs here: what the collaboration grew into, and what changed along the way. This text still has to be written.

The field app on a tablet

The challenge

With engineers in the field, multiple branches and equipment constantly on the move, the operation cannot be tracked on paper or in spreadsheets. Materials dropped out of sight, time tracking was manual work and the administration structurally lagged behind what was happening outside. The financial process - from work done to invoice sent - also took too much time and too many manual steps.

Our approach

In 2018 we developed two applications that work as one: office staff prepare all work in an administration application, and field engineers complete work orders on a tablet. In 2023 we rebuilt the office application from the ground up in a modern framework and added a fully installable tablet app for the field. The main building blocks:

  • Work preparation and work orders: the office plans, the engineer sees exactly what needs to happen where - map and instructions included
  • A field app that installs as a PWA on any tablet, with PIN login so engineers are up and running in seconds
  • Real-time material and stock management per branch, visualised on a map - including hired, damaged or lost materials
  • Time tracking directly on the work order, no loose paperwork
  • An Exact Online integration that automatically converts pro-forma invoices into sales invoices, with better insight into revenue categories and cost centres
  • A full revision history: every change traceable to a person and a moment

The three applications - API, office application and field app - form a single system. New needs from the field land in the software continuously: the planners and engineers help decide what gets built.

The result

Eight years on, the software is the heart of the daily operation. Office and field look at the same live data, materials are traceable from issue to return, and the financial process takes less time with fewer errors. What started in 2018 with two applications has grown into a digital chain that scales with the company - and the collaboration continues.

Office and field engineers work in one digital workflow: placed materials and stock are visible in real time per branch, and invoices flow automatically from the work done outside.
